12 Do's and Don't for Effective Online Communication
| |
| We communicate more online now than verbally. In many situations, people send signals that are not consistent with their intentions. Unfortunately, while the rules of excellent e-mail communication are common sense, they are not common practice. These simple 12 rules will allow you to prevent most problems when communicating online.
|
|
|
Improve Your E-Mail Openings
| |
| The very first 3-4 words set the tone for how the reader will feel as he or she wades into your e-mail note. How do you control your phrases at the start of a note to foster the kind of reaction you want in the reader?
|
|
|
Avoid Garbage-Plate E-Mails
| |
| Less is more in e-mail communication. If a note cannot be read and internalized in 15-30 seconds, there is little chance it wil be effective at communicating the intended message. Granted, some messages do need to be longer, but it is a good idea to keep them as short as you can, and try to not have the text go "over the horizon" because the reader has no idea how long the note is if you do.
|
|
|
Writing Challenging E-mails
| |
| We have all been there at some point. We need to communicate on a delicate issue, and e-mail is the only method possible because the other person is unavailable for any other type of communication. The situation can be a CTO (Career Threatening Opportunity). First of all you will be putting snesitive material in writing in a medium where there is no chance to fully erase it. Second, time is usually short in these circumstances, so there is not a lot of opportunity for detailed analysis. Finally, the subject matter gives you the feeling that you are walking on eggs.
|
|
|
Write Colorful E-Mails
| |
| We can all improve the quality of our e-mails if we take a little time to think about how we word them. Painting "word pictures" can be a great way to improve this mode of communication, and it is not as hard as we might think. |
|
|
Understanding E-Body Language
| |
| Online communication is so much a part of everyday life that we normally take it for granted until the power goes out. Many of us view e-mail the same as face-to-face communication; we just type information as if we were chatting with someone in the lunchroom – potentially a big mistake. If you are like most leaders, you lived through the transition from a face to face world to a mostly online world with little training. That can lead to some problems that are unnecessary. In this article I describe some of the opportunities. |
|
|
E-mail Tip #1 - Use the Right Mode of Communication
| |
| Most leaders communicate more through e-mail than face to face with their people. It is a common practice to view e-mail as just a natural progression of communication not much different from conversation. This is a huge mistake. There are many ways e-mail communication needs to be handled differently to get the intended message across. This first tip may sound like common knowledge. Unfortunately it is not common practice. This will be the case for all of the tips I will give. |
|
|
E-mail Tip #2 - E-mail is Not a Conversation
| |
| Most leaders communicate more through e-mail than face to face with their people. It is a common practice to view e-mail as just a natural progression of communication not much different from conversation. This is a huge mistake. There are many ways e-mail communication needs to be handled differently to get the intended message across. Even though writing or reading an e-mail feels very much like having a conversation, it really is not. Many people fail to understand the ramifications of this observation. |
|
|
E-mail Tip #3 - Less is More in E-mails
| |
| Most leaders communicate more through e-mail than face to face with their people. Many managers feel the use of e-mail is a license to dump out huge quantities of information expecting the workers to absorb and follow all instructions cleverly hidden in volumes of text. Too bad: it does not work that way. |
|
|
E-mail Tip #4 - Make the Subject Line Work for You
| |
| The subject line of an e-mail is a lot more important than most people realize. This article picks apart the topic and shows many examples of both good and bad subject lines. Given the subject line is one of two things a person considers (author is the other) when deciding when and if to open a note, we need to be very careful with wording. |

Use Email Marketing to Increase Your Value
| |
| How many times have you purchased something where you knew you weren't getting all the benefits that you could?
A perfect example of this is one that all of us in our mid-to-late thirties, and up, can think of.
Remember way back in the old days when they created that thing called a VCR?
I still have one of those prehistoric machines and you know what? It's still blinking 12:00 over and over again.
Not only that but I still have no idea of how to program it to record a show at a pre-set time.
Read the instruction manual you say? Whatever! I don't have the time or patience.
This isn't just a problem with hard products. It relates to services as well, and it's even more critical for you to address if it is tied to a membership type product.

Lesson #5: Use IT to Interact
| |
| Unlike the owners of most other sports teams, Cuban chooses to sit courtside along with the rest of the Mavericks’ fans instead of in luxury boxes. This is characteristic of Cuban, who, throughout all of his businesses has strived to maintain open channels of communication with the people that matter – whether they are the fans, staff or customers. And, because he is a self-professed technology geek, Cuban chooses to use the Internet as his means of keeping in touch. |

The board packages tend to show up in three different formats – one that is easy to deal with, one that is ok, and one that sucks. |

Rejection - Not By You, Really
| |
| Rejection isn't failure. I've been back from vacation for five days (including the weekend) and I've send out around 100 50 (if felt like 100, but I went back and counted and it was slightly more than 50) rejection emails to deals that came into my inbox while I was on vacation. It's part of my job - and I try to always at least give a little context as to why something isn't interesting to me. What I Don’t Know

| What we don’t know about our markets, our customers, our products, our business is where our lack of growth and outright failure resides. Of course, the rub is this - on our own, we don’t know what we don’t know and are powerless to do anything about it. |

During the conversation, he asked what he could do to increase the board member’s visibility of the progress they are making. |

Make Change Stick with the Dial Up/Dial Down Game
| |
| At my company we have an exercise we call "Dial Up/Dial Down." We use it to push each other to constantly develop our strengths and improve on our weaknesses. We introduce it to clients too. You can use in your own office, in your family, with a buddy, or in any kind of group that cares about each other's success. You can do it alone, of course, but it's not nearly as effective when there's no one to hold you accountable. |

Pee Tweet
| |
| I had a great flight home from LA on Southwest Airlines on Friday. My boycott on United has been going pretty well, but Amy and I are flying on it tomorrow to New York as it seems to be the only reasonable way to get from Denver to New York. I’m pessimistic. Plus I have a nasty cold so that’ll just make it more enjoyable. |

The Ether and the Scrum
| |
| Every day I get emails from entrepreneurs that make me think. In this case, it’s from a friend who is on the fundraising trail. He started off the email with “I felt compelled to share this with you as someone who would appreciate it.” I thought it was dynamite and asked him if I could share it since – in its unedited form – it captured so nicely what I expect many entrepreneurs feel. And, just as importantly, it’s something I hope VC’s realize that entrepreneurs – even very experienced ones – feel. |

5 Steps to Writing an Effective Email
| |
| It’s a scenario we’ve probably all been in at one time or another. You watch for the reply, and when it arrives, you open it immediately. Unfortunately, you’re still unable to proceed with your project, because the details you were waiting for are missing.
In many cases, this situation could have been avoided by taking a little extra time to compose your email effectively. The following guidelines will help you to improve your electronic communication skills and help you to be more productive. |

Business Opportunity Leads vs Customers
| |
| Business opportunity leads are not customers. Leads are defined as people who may be interested in your product or service. The hope is they will eventually become a customer. A lead is anyone that breathes. Notice that I did not say anyone that is interested in your opportunity, or any opportunity for that matter. Remember that free survey you filled out and provided your name and e-mail address? Surveys are just one method for generating leads. Any time you give out your contact information you are added to a lead database. Read the fine print and you will see that you are also agreeing to receive information or promotional material. |

Case History - Sneak Preview of a Candidate
| |
| It never ceases to amaze me when clients receive nasty-grams from sales candidates who are - let's call it put-off - by the client's request that they first take our on-line assessment. The candidates receive a very nice email thanking them for sending their resume, explaining the client's recruiting process and asking them to take the assessment. You just wouldn't believe some of the notes I've seen. Name calling, cussing, threats, sarcasm, and more. Here's a typical sample: |

Staying in Touch
| |
| We are "entranced" by all of the social media noise and how it's going to be the marketing tool of today and tomorrow. Funny we just thought it was about people talking to people. We like the headlines, 20 percent this, 30 percent that. Reminds us of a note from an Aussie friend -- 20% of the auto accidents there are caused by drunk drivers. That means 80% are caused by sober folks. So he wanted them to get off the roads so drinkers could get home safely.
Rather like our business communications. Not real concerned about people following our Twits (growing up we called it stalking). Wanna tag our social site wall? Have at it! We want to communicate with you and would like you to respond...not the ROW! But that's us |
|
|
Creating a Brand Message - Where Do I Start?
| |
| Start by literally looking at what is and isn’t working – ex: this email got more response than the other version. Ask members of your target audience to review different pieces, noting which item’s design and language resonates most and why. The why is important to start identifying specific characteristics. Are the graphics really impactful, the headlines compelling, etc. Then, ask them to tell you the opposite – what they were least attracted to and why. From the responses you get, create a checklist of these basic characteristics and note opportunities to make changes based on the well-received characteristics and recognize use of the disliked ones. |

DISTRACTION STOPS ALL ESSENTIAL ACTION

Getting my beauty sleep between emails

Latest Fiction for the Sales Force - No More Hunters/Farmers
| |
| In 2007 we had to deal with writers proclaiming that sales and the sales force were dead. The reality of all of that talk was that the people writing about it weren't close enough to sales to know what they were talking about. Companies with transactional sales don't need salespeople selling their transactional items, but they do need salespeople persuading companies to choose them in the first place. Then the transactions can be placed via Internet or an inside sales group. That's about the only scenario where the "dead" proclamation even comes close to being accurate. |

Ten Commandments of Leadership-Not Being a Wimp
| |
| Wimp. Wiener. Coward. Spineless. Jellyfish. And more not fit to print.
All are words used to describe someone who lacks courage. The courage to do the right thing. The courage to confront. The courage to object. The courage to take risks. The courage to take a different path. All of these are needed characteristics of effective and winning leadership.
In all types of settings and in all organizational structures, leaders need courage and, more importantly, the good judgment when to utilize courage and when to stand down. As important as courage is, the ability to not fight a battle is equally important. |

Why 75% of Women Struggle to Succeed in Business
| |
| When you look at the list of what women 'do' in their businesses it looks something like this..
1. General administration
2. Email
3. Website maintenance
4. Phone calls
5. Marketing
6. Social Networking
7. Client work
8. Bookkeeping
9. Running errands
plus much much more.
Of course this 'to do' list is similar to what men 'do' in business, however the woman in business is also responsible for the personal side of life. Having children and partners plus take care of the household can consume your day without even going anywhere near their business!
The biggest barrier to their success is they often try to 'do' everything themselves, which is impossible. While they are 'doing' the day-day basics, there's no time to work 'on' the business. There's no time to look after their no. 1 asset... themselves. |

Writing Training, Business Communication Training, Presentation Skills Training And Instruction in Effective Communication
| |
| Writing or speaking in public, effective communication begins and ends with the "what" -- the content. Once writing training and presentation skills training help you gain confidence in that (and you will because you're an expert; otherwise, why would you be writing or speaking in the first place?), the "how" will begin to fall into place. To get there, you should take advantage of the fact that WRITING IS THINKING, learn to FOCUS ON YOUR READER OR AUDIENCE and EDIT YOURSELF SCRUPULOUSLY (quality control).
Also, no matter how casually you may approach emails, that form of business communication is ubiquitous and requires the same writing skills as hard-copy memos or reports or letters. So the same three foundations of effective communication should apply when you start tapping away at the keyboard.

| Occasionally, you will come across a prospect who asks questions or offers objections that you have never before encountered, so you don’t have an ideal way to deal with them.
